Legal Secretary
Location: Baton Rouge, Louisiana

High school diploma or equivalent required. Additional business or legal secretarial school courses preferred.
Must have a minimum of two years of professional secretarial experience. Legal secretarial experience in a law office is preferred. Four years working at Blue Cross in customer service, claims processing, or jobs requiring HIPAA privacy knowledge may be considered in lieu of the secretarial experience. Facets experience preferred.
Must have excellent typing skills. Transcription experience preferred.
Proficiency with commonly used database, spreadsheet and word processing software is required. Must have high level of competency with desktop computers and Microsoft Office Suite (Word, Excel, Outlook, Power Point). Requires in-depth knowledge of commonly used applications within the Microsoft Office Suite (tables, charts, formatting, pivot tables, etc.)
Position requires excellent analytical, oral and written communication skills. Must be able to prepare documentation with excellent attention to detail. Ability to compose and accurately write legal correspondence, including correct grammar, spelling, and English usage. Ability to work independently required.
Effective organizational and interpersonal abilities are required. Must possess and exercise excellent judgment and must be able to deal diplomatically with staff and the general public.
ACCOUNTABILITIES :
Answers main phone lines for the department and receives visitors to the department. Handles calls and visitors in a timely, courteous fashion to ensure a positive customer interaction.
Logs incoming legal assistance requests and contract approval requests into tracking system to ensure proper tracking of departmental work flow. Routes information to appropriate staff members and coordinates flow of information within the department to ensure tracking of departmental work flow.
Procures office supplies for the department to ensure the department is equipped with the necessary supplies to perform daily activities. Maintains physical law library and updates subscriptions. Maintains corporate files, including Department of Insurance correspondence files. Maintains Legal and DOI reading files. Enters and files expense reports, requisitions, and Land Port (maintenance) requests. Opens departmental mail and routes. Serves as business continuity records coordinator for the department.
Provides legal secretarial support to attorneys, paralegals, and other staff members within the department, ensuring a timely and accurate work product. Assists attorneys, paralegals and all other staff members with correspondence, filing, organizational support, and other needs as necessary.
Creates and maintains spreadsheets and databases of information relevant to job for work flow, tracking, and other purposes. Assists staff with preparation of P&Ps and presentations. Responsible for researching corporate and departmental records on multiple archival platforms as necessary to assist attorneys and staff with their work.
