Location: Hammond, Louisiana

We are seeking an Executive Administrator in Hammond to support our Principals and our Neill Technologies company.

RESPONSIBILITIES:

  • Serves as Legal Liaison by preparing executive overviews of operating agreements, leases, contracts, and other legal documents with attorneys and present to Principals
  • Acts as a communication conduit from Principals to others; assists the legal team with contract negotiations for leases, operating contracts, LOIs, bank fees, properties
  • Reviews and summarizes miscellaneous reports and documents; prepares background documents and outgoing mail, as requested
  • Works closely with Principals to coordinate and launch hard copy or e-mail campaigns to internal and external partn! ers
  • Assists in coordinating personal and business tra! vel for Principals
  • Assists in managing personal and business calendars for Principals, as needed
  • Assists with credit card billing reconciliation and other personal financial matters for Principals, as needed
  • Sets up new accounts and processes software (contracts, recurring invoices, account information, customer file, etc.) and processes customer transfers from purchased status to subscription.
  • Handles most customer complaints or refers to Team Leader in elevated situations. This may require researching, amending, etc. to customer’s accounts in order to correct challenges or compensate customer.
  • Handles changes to customer information such as fix incorrect licensing or change ownership, address, etc. Fills out all necessary paperwork, adjusts billing as needed, modifies electronic records, hard copy records, etc.
  • Orders inventory / office supplies as needed by N.T. Department.
  • Creates, generates, or completes ! more complex or confidential reports and forms on a regular basis (minutes, agendas, duplicate invoices, procedure update, Oracle reporting, corporate statements, etc.) or as requested.
  • Opens and routes incoming mail and prepares outgoing mail as requested by customer or other department.
  • Assists in maintaining the filing system
  • Works the Helpdesk and answers Administration line, if needed
  • Maintains the Oracle PO’s for N.T.
  • Handles all non-customer related departmental requisitioning, shipping and receiving
  • Generates and maintains attendance policy documentation for N.T.
  • Maintains the show calendar and prepares all orders, logistics and coordination between N.T. employees and venue
  • Documents all meetings and sends out information to all parties involved
  • Maintains the Salesforce.com CRM System
  • Prepares PowerPoint Presentations, as needed
Minimum Requirements:
  • Masters degree preferred or relevant combination of education and! experience will be considered
  • 5 years experience in similar roles
  • Type 70 wpm
  • Ability to understand financial reports
  • Computer proficiency, business writing and communication skills
  • Excellent organization skills
  • Demonstrates superior customer service skills
  • Ability to work core schedule of Monday through Friday or as business dictates (i.e. nights & weekends)
