Description Summary: Provides direct support for the in-house attorneys acting as an executive assistant, using office management skills, paralegal skills, and administrative skills to assist Lawyers by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Performs office services such as receiving incoming telephone calls; routing calls or taking messages as needed, taking dictation, receiving, composing and typing routine correspondence; reading and routing incoming mail and/or faxes accordingly, schedules appointments and conference calls and coordinates arrangements for conferences, meetings and travel.

Transcribes documents dictated by in-house attorneys (letters, memoranda, pleadings, complaints, etc.) in a professional and legal format.

Acts as back up to the employee who receives and reviews all state garnishments, levies and subpoenas, determines validity, ensures Deposit Services has received a copy, answers questions for Deposit Services and contacts attorneys when necessary.

Back up to the employee who prepares and submits to Court the appropriate answer to garnishment by due date and handles disbursement of monies upon receipt of court order; likewise levy and subpoena responses.

Prepares legal documents such as briefs, pleadings, appeals, contracts for review, approval and use by attorneys

Maintains master calendar for meetings, deadlines, filing dates, etc. in order to establish critical date compliance.

Maintains master calendar for in-house attorneys and keeps in-house attorneys abreast of appointments, meetings, etc. on a daily basis

Organizes and maintains legal office computer programs and document retrieval systems, as well as form files

Files pleadings/documents with proper courts, as well as researching documents at the courthouse if needed

Helps field branch and customer calls, either responding to inquiries or referring to attorneys or other departments, as appropriate.

Finalizes, proofreads and routes outgoing correspondence to appropriate officers/individuals.

Organizes and maintains file system; maintains computerized listing of litigation files and consumer complaints and status of same.

Acts as liaison with all other departments and branches within the bank as well as outside counsel and customers and represents the legal office in a professional manner when doing so.

Prepares affidavits of document authenticity and maintains document file.

Assists with legal research as needed.

Secondary Duties:
Any other duties that the in-house attorneys may deem appropriate.

Education and/or Experience Bachelor’s degree; four to six years legal experience and/or training or other certificate of completion of paralegal course or equivalent combination of education and experience

Language skills Ability to communicate effectively orally and in writing using the English language; ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents; ability to respond to common inquiries or complaints from customers, regulatory agencies or members of the business community; ability to write briefs that conform to prescribed style and format; ability to effectively present information to top management, public groups and/or boards of directors.

Mathematical skills Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s; ability to perform these operations using units of American money

Reasoning ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Computer skills Ability to learn or knowledge of Microsoft Office products including Microsoft Word, Excel, Access and Powerpoint; ability to learn or knowledge of Outlook email program

Certificates, Licenses, Registrations No specific certifications, licensure or registrations are required to satisfactorily perform this job; however, a certification from university or other accredited institution, in paralegal or related course is preferred
